We are looking for an experienced Admin & Procurement Assistant to support day-to-day administrative operations and procurement processes. The role ensures smooth office functioning, timely purchasing, compliance with organizational and donor policies, and effective coordination with vendors, staff, and field teams.
Manage office operations, supplies, documentation, and logistics.
Coordinate meetings, travel arrangements, and event support.
Maintain office records, staff attendance, and asset registers.
Assist with facility management and service provider coordination.
Support procurement planning, vendor searches, and quotation collection.
Prepare purchase requests, comparative statements, and procurement documentation.
Ensure procurement follows NGO and donor compliance policies.
Maintain vendor records and follow up on deliveries and payments.
Assist with contract preparation and maintaining procurement files.
Liaise with vendors, suppliers, and internal teams.
Support audits by ensuring complete, well-organized documentation.
Ensure transparency, accuracy, and proper filing of all admin/procurement records.
Bachelor’s degree in Business Administration, Supply Chain, or a related field.
Minimum 5 years’ experience in admin and/or procurement roles (NGO experience preferred).
Good knowledge of procurement procedures, vendor management, and documentation.
Strong MS Office skills (Excel, Word, documentation).
Excellent communication, organization, and time-management skills.
Ability to work under pressure and manage multiple tasks.
