SENIOR LOGISTICS & ADMINISTRATION COORDINATOR
Job Title: Senior Logistics & Administration Coordinator
Location: Islamabad (with frequent travel to other field offices)
Reporting Line: General Systems Manager
JOB SUMMARY:
The Senior Logistics Coordinator will be responsible for managing and enhancing the effectiveness of Administration & Logistics systems, and not just maintain the systems, but improve them; and where necessary introduce new systems, ensuring the transfer/sharing of knowledge to field staff and partner organisations.
The position holder will lead the continuous improvement of logistics and administration systems that are in place, amending as necessary. He/she will provide effective and timely logistics and administration support to all program in relation to procurement, stocks, property management and administration.
DUTIES AND RESPONSIBILITIES:
- To manage all aspects of the logistics function relating to Organization Pakistan programme in line with agreed and accepted Organization logistics practices and procedures.
- Development and implementation of procurement policies and procedures for Pakistan programme as per the Organization Worldwide procurement manual.
- To strengthen relationships with ministries and other organisations in order to streamline functions like visas, permits, visit clearance, etc
- To assist General Systems Manager and PM in the management of an effective Transport management system and provide inputs in enhancing systems as required.
- To develop effective administration support system and its implementation in Pakistan programme. Take pro active role in order to develop administration manual and support all Logistics & Admin Coordinators/PMs in preparation and monitoring of Admin budget.
- Provide administrative and logistics support to Organization’s emergency response interventions.
- To maintain record of Organization Pakistan all offices asset and inventory according to CWW Asset management system and make arrangements for the insurance.
- To assist the General Systems Manager in security management related matters by attending INGO security meetings, and providing GSM inputs in reviewing the Security Management Plan as required.
- Any other task assigned by supervisor.
REQUIRED EXPERIENCE, SKILLS AND QUALIFICATIONS:
- Excellent working knowledge of Administration & Logistics procedures followed in an INGO.
- At least 5 years of sound administration & logistics experience, preferably within the NGO sector and Mid-managerial level.
- Minimum educational qualification of Masters in Business/Public Administration or related discipline is essential. In case of experienced staff at least Bachelors.
- Sound computer skills. Proficient in using MS Office & Outlook.
- Excellent written English and Urdu essential;
- Excellent oral communication skills
- Strong organisation skills and problem solving skills
- Demonstrated capacity to solve complex organisational and interpersonal problems
- Ability to lead and guide other staff
- Ability to negotiate and represent the organisation
- Excellent interpersonal skills

- Willingness to travel to remote and unstable locations on short notices

SPECIAL CIRCUMSTANCES:
- Organization Worldwide Pakistan Programme, like other INGOs working inPakistan, sometimes has to operate in risky environments/areas. Organization has a SMP to minimise all possible risks.
- In case of emergency/disaster Logistics & Admin Coordinator will be required to respond and make necessary arrangements.
