Purpose
Under the supervision of the Project Manager – DAFI, the IM/IT Officer will lead the project’s information management, data management, reporting, digital systems, and day-to-day IT support. The position will ensure accurate, timely, secure, and accessible program information to support DAFI implementation, monitoring, decision-making, donor reporting, and accountability.

Key Responsibilities
- Manage and maintain the DAFI project MIS/database, including scholar profiles, enrolment, academic progress, stipends, tuition, graduation, and other program records.
- Design, manage, and maintain data collection and reporting tools using platforms such as Kobo Toolbox/KoBo, BIMS, Excel, Power BI, and other approved digital systems.
- Ensure data quality through regular data cleaning, validation, verification, deduplication, and reconciliation.
- Develop/ maintain Power BI dashboards, Excel trackers, databases, charts, and information products for program management and donor reporting.
- Support routine and periodic data analysis, indicator tracking, monitoring, assessments, surveys, and reporting.
- Ensure timely provision of accurate datasets and analysis for DAFI donor reports, management reports, audits, assessments, and monitoring visits.
- Maintain secure and organized electronic and physical information systems, ensuring confidentiality, data protection, access control, and regular backups of sensitive scholar information.
- Provide day-to-day IT support and troubleshooting for computers, printers, internet/connectivity, software, email, Microsoft Office, online meetings, and other project technology.
- Maintain an updated inventory of project IT equipment, software, digital assets, and user access.
- Coordinate with INSPK Head Office IT/MEAL teams, universities, partners, and service providers on information and technology requirements.
- Support digital registration, orientations, surveys, workshops, field data collection, and other DAFI activities.
- Train and support project staff in the use of BIMS, KoboToolbox, Power BI, MS Excel, MS Office, and other relevant systems.
- Support the Project Manager in using data and evidence for planning, performance monitoring, decision-making, and program improvement.
Secondary Responsibilities:
- Support the development of project proposals, concept notes, and work plans.
- Assist in data collection, analysis, and preparation of success stories and visibility materials.
- Contribute to monitoring and evaluation activities, including surveys and assessments.
- Provide support during audits and internal/external reviews.
- Represent the project in meetings, forums, and coordination platforms when required.
- Support capacity-building activities and career guidance sessions for scholars.
Key Tools / Technical Skills
- Power BI – dashboards, data visualization and reporting

- MS Excel – advanced data management, analysis, PivotTables, formulas and reporting
- MS Office / Microsoft 365 – Word, PowerPoint, Outlook, Teams

- Basic IT troubleshooting, hardware/software support, networking and digital security
Other Duties
- Perform any other duties related to the position, as reasonably assigned by the Supervisor or relevant Head Office units, in line with organizational policies and operational requirements.

Qualifications & Experience
- Master’s degree in IT, Computer Science, Information Management, MIS, Data Management, Statistics, or a related field;
- 3–5 years of relevant experience in Information Management, MIS, IT, MEAL, data management, or a similar role, preferably with an NGO/humanitarian, refugee, education, or donor-funded programme.
- Demonstrated experience with Power BI, KoboToolbox, BIMS/MIS, Excel, data analysis, dashboards, and digital reporting systems.
- Experience managing sensitive/confidential data and applying data protection and information security principles.
- Strong analytical, troubleshooting, communication, coordination, and organisational skills.
- Ability to work independently, meet deadlines, and travel to project locations when required.
