The Legal Aid Society (LAS) is seeking a highly organized and client-focused Coordinator - Court Notified Mediation Centre to support the effective administration and coordination of court-annexed mediation services at the Court of Pakistan.
The Coordinator will serve as the central focal person for case intake, mediation scheduling, stakeholder coordination, record management, reporting, and day-to-day operations of the Mediation Centre. Working closely with judges, lawyers, accredited mediators, court staff, and disputing parties, the role will help ensure that mediation proceedings are managed efficiently, professionally, and in accordance with applicable Alternative Dispute Resolution (ADR) laws, court procedures, and confidentiality standards.
This position requires a legally trained professional with strong litigation experience, exceptional coordination and communication skills, and a sound understanding of mediation processes and court administration.
The Coordinator is responsible for managing the complete administrative and operational workflow of the Court notified Mediation Centre. The role oversees case intake, documentation, scheduling, mediator coordination, reporting, stakeholder engagement, and case closure while ensuring the highest standards of professionalism, neutrality, confidentiality, and service delivery.
The Coordinator also supports institutional efforts to strengthen court-annexed mediation by maintaining accurate case records, facilitating effective communication among all stakeholders, monitoring case progress, and ensuring compliance with applicable legal and procedural requirements.
1. Case Intake & Initial Assessment

Receive, register, and process cases referred by the courts for mediation.

Review referral orders, pleadings, contact information, and supporting documentation to ensure completeness.

Conduct preliminary assessments to identify missing documents or procedural requirements.

Contact parties and their legal representatives to explain the mediation process, including its voluntary, confidential, and non-adversarial nature.

Address preliminary queries and facilitate informed consent for participation in mediation.
2. Case Records & Data Management

Maintain complete, accurate, and up-to-date physical and electronic records of all mediation cases.

Create, organize, and securely manage confidential case files in accordance with data protection requirements.

Update case management systems, Microsoft Excel, Google Sheets, and relevant databases with case progress, mediation sessions, outcomes, and follow-up actions.

Track each matter throughout its lifecycle from referral to settlement, non-settlement, withdrawal, or closure.

Compile case statistics and maintain records relating to settlements, pending cases, withdrawals, and unsuccessful mediations.
3. Mediator Coordination

Coordinate with approved and accredited mediators throughout the mediation process.

Facilitate the appointment and selection of mediators with the informed consent of disputing parties and in accordance with approved procedures.

Provide parties with information regarding mediator qualifications, accreditation, expertise, and availability.

Confirm mediator availability and ensure any actual or potential conflicts of interest are identified and appropriately addressed.

Maintain an updated directory of accredited mediators, mediation centres, and professional profiles.
4. Centre Operations & Administration

Manage the day-to-day operations and administrative functions of the Court-Annexed Mediation Centre.

Coordinate meeting rooms, facilities, logistics, documentation, and communications required for mediation sessions.

Ensure all consent forms, confidentiality agreements, attendance records, settlement agreements, and related documentation are properly completed, signed, and securely maintained.

Monitor office supplies, equipment, and operational resources required for smooth Centre operations.

Ensure compliance with approved procedures, professional standards, confidentiality obligations, ADR legislation, and court rules.
5. Liaison, Coordination & Reporting

Serve as the primary coordination point between district courts, Court officials, judges, mediators, lawyers, court staff, and other relevant stakeholders.

Provide timely updates to referring courts regarding mediation progress while maintaining the confidentiality of mediation discussions.

Prepare periodic case reports, statistical summaries, management reports, and operational updates.

Coordinate submission of settlement agreements, non-settlement reports, and case closure documentation to the referring courts.

Support institutional coordination and stakeholder engagement initiatives that strengthen court-annexed mediation services.
6. Mediation Scheduling & Session Management

Schedule mediation sessions in consultation with disputing parties, legal representatives, and appointed mediators.

Manage invitations, notices, confirmations, reminders, adjournments, and rescheduling requests.

Ensure venues, documentation, and logistical arrangements are fully prepared before each mediation session.

Monitor mediation timelines and proactively follow up to minimize delays.

Ensure all mediation sessions are conducted in accordance with applicable ADR laws, court procedures, professional standards, and prescribed timelines.
7. Follow-up & Case Closure

Follow up with parties, legal representatives, and mediators regarding pending documentation, additional mediation sessions, or agreed actions.

Ensure settlement agreements are properly executed and submitted to the referring court where required.
