Position Title: Assistant Director, Resource Mobilization & Partnerships

Location: PRCS National Headquarters, Islamabad
Position Objective
The Assistant Director is responsible for the effective implementation of assigned components of the national resource mobilization strategy. This includes managing a portfolio of donors and partners, coordinating the development of funding proposals and reports, maintaining partnership systems, and supporting the Deputy Director in strategic initiatives. The role requires a highly organized, detail-oriented professional with strong writing skills, donor management experience, and a collaborative spirit to work across the organization.
Key Duties and Responsibilities
- Under the guidance of the Deputy Director, lead the coordination and writing of medium-scale funding proposals, concept notes, and budgets, gathering inputs from technical program teams, finance, and M&E.
- Conduct thorough research and analysis on potential new donors (corporate, foundations, trusts) to identify alignment with PRCS programs and prepare briefing notes for engagement.
- Support the planning and execution of national fundraising campaigns, events (galas, launches), and special initiatives (e.g., Ramadan, Disaster Appeals).
- Maintain a dynamic pipeline tracker of ongoing proposals, submissions, and pending decisions.
- Manage a dedicated portfolio of existing donors and partners, serving as a primary point of contact. Ensure regular communication through updates, newsletters, and acknowledgments.
- Organize and coordinate logistics for donor meetings, field visits, and presentations, preparing briefing kits and agendas.
- Maintain the official partnership filing system and donor database ensuring all records of contracts, MoUs, correspondence, and reports are meticulously filed and easily retrievable.
- Track and ensure compliance with partnership agreement terms, including reporting deadlines and visibility requirements.
- Work closely with Program Heads and Finance teams to monitor the implementation of active grants, facilitating timely and accurate financial and narrative reporting to donors.
- Track grant milestones, flagging potential delays or compliance issues to the Deputy Director.
- Contribute to the preparation of internal progress reports on fundraising performance against targets.
- Assist in organizing grant opening and closing meetings.
- Act as a key liaison between the Resource Mobilization department and PRCS Program Units, facilitating the flow of information needed for proposal development and donor reporting.
- Collaborate with the Communications Department to develop high-quality fundraising collateral, impact stories, social media content, and annual reports that support donor engagement.
- Ensure the donor database is consistently updated with interactions, meeting notes, and key documents.
- Help maintain a repository of past successful proposals, reports, donor guidelines, and templates for organizational learning.
- Stay abreast of fundraising best practices and sector trends.
- Any other tasks as assigned by the management.
Qualifications, Experience, and Competencies
Education:
- A Master’s degree in Business Administration, Marketing, Communications, Social Sciences, or a related field is required.
Experience:
- Minimum of 5 years of professional experience, with at least 3 years directly in fundraising, grant management, donor relations, or partnership roles in the non-profit/development sector.
- Hands-on experience in writing successful funding proposals and donor reports.
- Experience in coordinating with multiple internal departments.
Skills and Knowledge:
- Excellent Writer: Strong ability to draft clear, compelling, and grammatically flawless proposals and reports in English.
- Research and Analytical Skills: Proficiency in donor research and data analysis.
- Organizational Prowess: Exceptional attention to detail, time management, and ability to juggle multiple priorities.
- Software Proficiency: Advanced skills in MS Office (Word, Excel, PowerPoint). Experience with CRM software (e.g., Salesforce) is a plus.
- Communication: Fluent in English and Urdu (written and spoken).
