Job Description: Front Desk Officer

Reception Duties:

  • Greet and welcome visitors in a friendly and professional manner.
  • Direct visitors to the appropriate person or department.
  • Answer, screen, and forward incoming phone calls.

Customer Service:

  • Provide basic and accurate information in person and via phone/email.
  • Respond to inquiries and handle complaints in a courteous and efficient manner.
  • Maintain a visitor log and issue visitor passes when necessary.

Administrative Support:

  • Manage and distribute incoming and outgoing mail.
  • Schedule and confirm appointments and meetings.
  •  Assist with clerical tasks such as photocopying, scanning, and filing.
  • Prepare outgoing mail by drafting correspondence, securing parcels and record-keeping.

Office Management:

  • Maintain office security by following safety procedures and controlling access via the reception desk.
  • Monitor and maintain office supplies inventory.
  • Ensure the reception area is tidy and presentable, with all necessary stationery and material (e.g., pens, forms, brochures).
  • Maintaining library records and ensuring they are up to date and logs are well maintained.

Coordination:

  • Coordinate with the housekeeping staff to ensure cleanliness and order in the office premises.
  • Liaise with the building management for any maintenance or facility issues.

ESSENTIAL REQUIREMENTS

Minimum Graduation.

Excellent knowledge of customer care.

Communication & presentation skills.

3-4 years of relevant experience.
