Relevant Experience:

At least 10 years of relevant experience and 7 years in the same role.

Master/MBA in management, business administration, public administration, and supply chain from a HEC recognized university.

Job Description:

Main duties and responsibilities of the position but not limited to:

 1.      General

 

  • Ensure adherence to the policies and procedures at all levels.
  • Draft/update the existing SOPs and Policies to make them aligned with the latest sector practices and requirements of the organization.
  • Prepare and submit the required weekly/monthly/quarterly reports to the Management.
  • Ensure effective coordination between the program/project and operations teams.
  • Team management, overseeing, mentoring, and providing technical backstopping when and where required.
  • Responsible for preparing and sharing the department’s budget within the given time frame and have sufficient allocation of resources for smooth operations.
  • Represent the organization at different forums where deemed necessary.

 2.       Administration

  • Ensure necessary administrative control are in place and adhered at all level.
  • Ensure compliance with the management decisions.
  • Ensure end-to-end contract management for partners, vendors, consultants, service providers, etc.
  • Ensure lease agreements of all offices are prepared, updated, and renewed timely.
  • Ensure timely reporting of any incident/accident to the management with necessary evidence and documentation.
  • Ensure most efficient and cost-effective staff travels, accommodation arrangements, etc.
  • Ensure inventory/asset management with better controls.
  • Ensure effective and efficient event management that includes the venue arrangement and other related activities.
  • Plan and lead the process of project phase in/out for the operations department.

 3.      Procurement

  • Ensure comprehensive procurement systems for various requirements including routine affairs and unforeseen emergencies, public tendering, project-based procurements.
  • Ensure that procure plans are prepared and followed at all levels.
  • Ensure that all procurement processes are complying with the donor guidelines.
  • Ensure that vendor evaluation, pre-qualifications are systematic and processed in time to meet the emerging organizational needs.
  • Ensure that vendor performance/feedback system is in place and followed.

 4.      Information Technology (IT)

  • Ensure that necessary networks requirement & support including hardware/software are in place.
  • Ensure that all the IT equipment, software, and databases are safe and secure.
  • Plan and implement the best data backup system for staff.
  • Assess and plan for availability of IT requirements for staff and organization’s future needs.
  • Ensure that all web services including the web portal are working and available to all staff.
  • Ensure uninterrupted services to the end-user through proactive and timely troubleshooting services.
