The Desk / Reception Assistant is responsible for managing the front office, coordinating communications, and providing administrative support. You will ensure that every visitor receives a warm welcome and that all inquiries—whether in person, via phone, or email—are handled with efficiency and courtesy.
Act as the primary point of contact; greet and direct visitors, students, and parents to the appropriate departments or personnel.
Manage the multi-line telephone system; answer, screen, and forward calls while taking accurate messages when necessary.
Provide basic information about Solochoicez's services, courses, and job openings to walk-in candidates or callers.
Maintain the office calendar; schedule meetings for senior management and coordinate the use of conference rooms.
Receive, sort, and distribute daily mail/deliveries; coordinate outgoing courier services and maintain a dispatch log.
Assist the HR and Admin departments with data entry, filing, photocopying, and preparing basic documents/reports.
Ensure the reception and waiting areas are kept clean, organized, and stocked with necessary brochures or forms.
Monitor the visitor logbook and issue visitor badges to maintain building security protocols.
Minimum Intermediate (FA/FSc/I.Com/ICS).
At least 01 year of relevant experience in a front-desk, reception, or customer service role.
Proficiency in Microsoft Office (Word, Excel, Outlook) and basic office equipment (printers, scanners, PABX systems).
Strong verbal and written communication skills in both English and Urdu.
Age Limit: 18 – 30 years.
A polite, well-groomed, and positive demeanor at all times.
The ability to handle a busy switchboard while assisting walk-in visitors simultaneously.
Staying calm under pressure and handling difficult callers or visitors with tact and diplomacy.
Attention to detail regarding schedules and document management.
