Qualifications & Skills:

  • Bachelor’s/Master’s degree in Human Resource Management, Business Administration, or a related field.
  • 3-5 years of relevant HR experience, preferably in NGOs/development sector.
  • Strong knowledge of HR practices, labor laws, and HR compliance requirements.
  • Proven experience in staff and consultant data management with high standards of confidentiality.
  • Excellent communication, interpersonal, and organizational skills.
  • Proficiency in MS Office and HR software/databases.
  • Ability to maintain integrity and handle sensitive information with discretion. 

Key Responsibilities:

  1. Recruitment & Selection
    • Assist in drafting job descriptions, advertisements, and vacancy announcements.
    • Coordinate recruitment processes including shortlisting, scheduling, and facilitating interviews.
    • Ensure proper documentation and filing of recruitment records.
  2. Onboarding & Orientation
    • Facilitate smooth staff onboarding, including preparation of employment contracts, orientation sessions, and induction materials.
    • Ensure new employees understand HR policies, organizational culture, and compliance requirements.
  3. Staff & Consultant Data Management
    • Maintain, update, and safeguard all employee personal files, consultant records, and HR databases (manual and digital).
    • Ensure strict confidentiality of employee and consultant information in line with organizational policies.
    • Regularly update staff lists, contract status, and consultant engagement data for reporting and compliance.
  4. HR Operations & Payroll Coordination
    • Coordinate monthly payroll with the Finance Department, ensuring timely updates on attendance, leave, and benefits.
    • Track probation periods, contract renewals, and consultant agreements.
  5. Compliance & Policy Implementation
    • Ensure HR operations comply with LPP’s HR manual, labor laws, and donor requirements.
    • Support in implementing employee contracts, benefits, and performance appraisals.
    • Assist in managing grievances, disciplinary processes, and employee relations in line with organizational policies.
  6. Capacity Building & Staff Support
    • Support HR Manager in identifying staff training and development needs.
    • Coordinate internal/external training sessions, workshops, and capacity-building activities.
    • Provide day-to-day guidance to staff on HR matters.
  7. Performance Management
    • Support in implementing performance appraisal systems and collecting performance review data.
    • Maintain performance records of staff and consultants to ensure accountability and quality service delivery.
  8. Coordination & Reporting
    • Act as a link between the Multan base office and field offices for all HR-related matters.
    • Prepare HR reports (monthly/quarterly) and share with HR Manager and senior management.
    • Coordinate with external stakeholders (e.g., social security, EOBI, insurance) for employee-related matters.
  9. Other Duties
    • Support HR audits, donor compliance reviews, and inspections.
    • Perform any additional HR-related tasks assigned by management.
