Job Description: Event Management Firm
CDM Smith is soliciting proposals from qualified event management firms to provide comprehensive and dedicated services for the successful execution of a high-profile event in Islamabad.
The event, titled "United for Progress: Paving the Pathway for Progress in Pakistan," is a day-long program per below details. The event will take place on October 28, 2024, at the Pakistan National Council for Arts (PNCA) Islamabad.
The purpose of this RFP is to obtain the services of an event management entity to support the organization of events in a smooth manner. Ensure seamless on-ground logistics and effective setup of the event and project booths/stalls including audio-video set up for print and electronic exhibitions, make necessary arrangements for holding national conference/seminar (of 450 participants).
The event management firm will be responsible for all aspects of the event, including:
- National Conference/Seminar: Organizing/ event management of a national conference.
- Documentary Film Screening: Screening of a documentary film, provided by USAID.
- Print Exhibition: Arrangements for a print exhibition, including the printing, framing, and display of over 100 photographs in the designated PNCA Art Galleries.
- Electronic Exhibition: Display of the same over 100 photographs on an SMD screen, along with the screening of the documentary on the same screen. The documentary and images will be provided by USAID.
- Invitations and managing participants: Preparing invitation lists, coordinating with speakers, sending out invitations, managing follow-ups, and managing participants.
- Logistics: Overseeing participants logistics including hotel bookings where required, catering services (including lunch and tea breaks), and security coordination.
- Coordination: The firm will be responsible for coordinating with other entities involved in the event for smooth execution. The details of other entities involved in the event will be provided after the award.
