Position Purpose

HelpAge International is the secretariat to a global network of organizations promoting the right of all older people to lead dignified, healthy and secure lives.  From a network of 154 like-minded organizations, and 12 HelpAge country offices, operating in 97 countries; 56 have been engaging in advocacy, 22 in campaigning and 25 in community cohesion activities; 38 have been distributing food and 45 medicine/PPE/hygiene kits; 45 are providing psychosocial support and 55 have been raising awareness of COVID-19.  HelpAge International will implement a COVID19 response project “Strengthening government sector health system and providing immediate emergency response to curtail outbreak of COVID-19 across Pakistan in Punjab, Sindh, Baluchistan and Khyber Pakhtunkhwa provinces”. HelpAge International will implement project in district Ghotki and Khairpur in a consortium and funded by ECHO under HIP2020. The project will support designated health facilities in both district regarding COVID19 infection prevention and response for 12 month. The project will address the immediate needs of targeted health facilities in COVID19 response and support through provision of disinfectants, PPEs and enhancing testing capacities. The position holder will manage and coordinate project activities in district Ghotki and Khairpur through support of project staff.

Key responsibilities

The key responsibilities of the position holder are supporting overall project in planning, implementation, monitoring and coordination. The position holder will also responsible for stakeholder management and reporting to organization as well as donors as per agreed schedule and formats.

Specific duties and responsibilities

  1. Supervise and manage overall project implementation in response of COVID19 in Ghotki and Khairpur
  2. Ensure proper support in project design, plan, implementation, monitoring and coordination to achieve the project objectives, goals and specific targets
  3. Responsible for stakeholder coordination and staff management with standards and procedure of the organization
  4. Ensure proper Projects documentation as per agreed protocols
  5. Ensure proper monitoring and analysis of the project activities and report accordingly
  6. Provide required support to project staff in planning activities and develop databases, reports etc.
  7. Encourage project staff for capacity building and utilization of capacities for project objectives at maximum level.
  8. Develop and share monthly /quarterly/annual progress of the project and share with line manager
  9. Responsible to maintain project files and records at project office
  10. Ensure security of staff, assets, premises and vehicles in project areas 
  11. Conduct frequent field visits and report accordingly.
  12. Represent HelpAge International at meetings with donors, district and provincial government, UN meetings and other external bodies in the Sindh province.
  13. Maintain strong relations in positive with key stakeholders including LEAs, political and administrative authorities
  14. Adhere to Organization policies/procedures including finance, human resources, security, procurement and logistics; and ensure staff compliance
  15. Adhere to safeguarding, code of conduct and protection policies and procedures of the organization
  16. Perform any other tasks as assigned by the supervisor or management.

Safeguarding Responsibilities

  1. Preventing harm and abuse from our people, operations and programmes, to anyone that encounters our work;
  2. Report all safeguarding incidents they see, hear, hear about or suspect, using our internal reporting mechanism;
  3. Complying with all safeguarding framework policies and practices
  4. Completing mandatory training courses relating to our safeguarding policy framework and comply with HR vetting procedures.
  5. Reducing the risk of harm and abuse in the field;
  6. Involving communities in the design of programmes and complaint response mechanisms, be responsible for implementation and review;
  7. Attending specialist field training on safeguarding as required;
  8. Maintaining maps of support services for survivors;
  9. Receiving and responding to complainants/survivors and ensuring that no further harm is done, following a survivor-centred approach, using the principles of psychological first aid, and signposting to relevant local services as needed
  10. Reporting all safeguarding incidents they become aware of
  11. Reporting and responding to safeguarding incidents reported to them by anyone connected with our work, using our internal reporting mechanism.
  12. Supporting staff to embed safeguarding measures in their role

Required qualifications and experience

  1. Master’s degree in social sciences, development studies, social work or relevant field.
  2. Relevant Experience of at least 4-5 years working with a national or international nonprofit organization.
  3. Have enough knowledge of Humanitarian Standards for work in emergencies
  4. Strong project management skills
  5. Flexible to work in humanitarian situation and willing to travel frequently in project areas
  6. Excellent communication skills (verbal and written)
  7. Excellent computer skills mainly in Microsoft Office package.
  8. Good attention to detail and high levels of accuracy.
