Job Purpose:

As part of TDEA’s Operations Team, the role of this position is to assist and facilitate programs and management in admin and procurement processes. S/he needs to coordinate with all the units, such as team members, HR Unit, IT Unit, Finance Unit, Programs, and TDEA Management. S/he will manage admin and procurement needs effectively and implement directions by the Team Lead Operations and Director Operations.

Job Responsibilities:


  • Assist in managing & guiding office support staff;
  • Ensure office cleanliness, kitchen supplies and office maintenance;
  • Preparation of logs for stationery and office supplies;
  • Maintenance and repair of office equipment;
  • Ensure the security of official procurement data and records;
  • Ensure safety and security of TDEA records;
  • Draft replies to audit observations;
  • Issue and receipt of assets, maintain inventory, and update the same periodically.


  • Process requisitions re local, in-country and international travels;
  • Arrange suitable and safe accommodation;
  • Ensure safety of the staff members while in the field;
  • Facilitate in making arrangements for in-house meetings, workshops and conferences;
  • Deal with entire cycle of event managements;
  • Coordinate and assist in processing the payments of vendors.


  • Repair and maintenance of office vehicles;
  • Maintain log of vehicle/prepare monthly fuel consumption and maintenance report;
  • Preparation of over-time of support staff on monthly basis;
  • Managing monthly utilities and preparation of reports.


  • Support the procurement processes effectively in accordance with TDEA procurement policies and best practices;
  • Record, report, and document procurement processes;
  • Furnish responses to audit observations relating to procurement;
  • Regular reporting of all procurement processes to the Team Lead Operations;
  • Perform any other task assigned by the, Admin Lead, Procurement Lead, Team Lead Operations as well as TDEA Director Operations.

Required Qualification, Experience and Competencies:

  • Preferably Master’s degree in Business/ Public Administration, or the relevant field from HEC recognized university, with three (3) years of relevant experience.
  • Fairly familiar with admin and procurement process.
  • Excellent interpersonal and communication skills.
  • Well versed in use of Ms. Office (Ms. Word, Excel, Power point etc)
  • Ability to work in a team and independently.
  • Fluency in English and Urdu required.
