Key Responsibilities:

 Program Management tasks:

  • Assist in desk-research on program related topics when needed.
  • Organize/coordinate donor/program team meetings including assistance in agenda development, meeting minutes etc.
  • Assist in follow-up of meeting action points.
  • Develop presentations for meetings.
  • Communication & coordination with team members on various aspects when required.
  • Support on report and proposal writing/formatting/editing.
  • Organize documentation for donor requirements when required.
  • Communicate with donors/consultants/staff on behalf of supervisor.
  • Support in ground work and management of regional/national trainings/events when required.
  • Develop Contracts/MOUs for consultants.
  • Assist in developing budgets for regional events and proposals.
  • Ensure payments are made to consultants in a timely manner/follow up with Finance.
  • Support Program team members when requested.

 Monitoring, Evaluation & Learning: 

  • Assist in internal reviews of projects.
  • Carry out field visits for internal reviews.
  • Develop findings and reports for internal reviews .
  • Capture best practices, lessons learned, strengths and gaps through internal reviews.
  • Support teams in developing action plans.
  • Follow up on action plans.
  • Regularly update/circulate the Reporting Grid and Program Information Sheet.
  • Maintain documentation hub.
  • Periodic review of organization on social media.

 Administrative Tasks: 

  • Take calls/messages on behalf of supervisor in her absence.
  • Staff Birthday reminders .
  • Organize & manage events/meetings for the supervisor.
  • Arrange meeting appointments when required.
  • Maintain travel itineraries for supervisor & security clearance.
  • Manage flight bookings.
  • Manage and host guests on behalf of the Supervisor .
  • Correspondence with guests/donors for invitation of events, exchange of information etc.
  • Coordinate and manage donor visits/itineraries.
  • Updating and maintenance of business cards received by supervisor.
  • Keep supervisor and other team members informed about particular tasks.
  • Assist in team building.

Job Specifications:

Qualification/Experience:

For the post of Program Assistant, a Bachelor’s degree from university and 03 years’ experience is considered necessary.

Skill/Competencies:

  • Excellent English Communication skills (written & spoken).
  • Ability to maintain confidentiality; ability to multi task; highly proactive; detail orientated.
  • Ability to prioritize and manage workload efficiently.
  • Ability to work with teams; adaptable.
