Under its Education theme, Alight Pakistan launched the biggest ever three years (2018-2020) education initiative for Out of School Children (OOSC) in Pakistan in collaboration with Ministry of Federal Education and Professional Training, Government of Pakistan and Educate A Child (EAC).

PROGRAM IN GILGIT BALTISTAN:

Alight has initiated a program “Improved Access to Quality Education in Gilgit Baltistan”. The overall goal of the program is “Increased and equitable education and skills development opportunities for girls and boys in Gilgit Baltistan”. The program will focus on two thematic areas 1. Education and 2. Skills Development. The focus of its education component will be to enhance the enrolment, retention and quality of education in 4 districts of Baltistan (Shigar, Skardu, Kharmnad, Ghanche) and in 6 districts of Gligit (Hunza, Gilgit, Ghizer, Diamer, Astore, Chitral) of Baltistan and collaborating with Department of Education Gilgit Baltistan to support the interventions contributing in to achieving the commitments under its education strategy 2015-2030. In the skills development component Alight will focus on engaging with communities and stakeholders and conduct an in-depth assessment and market analysis to identify trends and demands of existing labor, business and employability trends and opportunities within Gilgit Baltistan.

JOB DESCRIPTION:

HUMAN RESOURCE:

  • Responsible for recruitment of honorarium staff for field activities. Conduct interviews by adopting selection process as per HR policies.
  • Conduct a session of orientation and socialization for new joiner in Gilgit Balistan with HR policies, norms, values and work set up.
  • Provide assistance to the HR Manager to arrange meetings with project based staff and observe their performance, receive feedback and resolve conflicts if it has arisen
  • Assist HR Manager in evaluation of staff performance, through performance evaluation performa at the end of the year
  • Work in close coordination with country office HR department for issuance of service contracts of honorarium staff
  • Responsible to prepare the monthly payrolls for all staff of Gilgit Baltistan.
  • Ensure attendance register is maintained on daily basis, keep the leave record of staff and share it with HR Manager on monthly basis
  • Responsible for timely submission of monthly timesheets of Gilgit Baltistan staff
  • Maintain updated record of HR at the regional level.

ADMIN OFFICER:

  • Responsible for maintenance of office equipment and renewal of maintenance contracts
  • Prepare lease agreements for and Regional Office
  • Ensure proper system is in place for timely repair of damaged and broken equipment
  • Ensure timely processing of utility bills for regional office
  • Maintain a master inventory database for all office equipment
  • Update/change databases as required, change in physical location, change in donor source, disposal etc., as per ARC policies and procedures
  • Ensure the physical existence of the items at least once in a year by taking physical count
  • Provide logistics support for workshops, seminars, meeting by arranging appropriate venue and ensuring timely provision of all required materials to support the event
  • Coordinate travel arrangements by making and confirming reservations for transportation and accommodation by arranging travel tickets for staff and consultants as and when required.
  • Efficiently plan car and driver schedules balancing transport needs of staff with car and driver availability in an efficient manner. Provide weekly updates to Operations Manager on activities, including vehicle status & periodic maintenance schedule
  • Ensuring that proper procurement policy guidelines are adhered in compliance with ARC policy, donors & field requirements
  • Collect quotations to enable the comparison of prices, specifications, and delivery dates in order to determine the best bid among potential suppliers and service providers. Checking the goods received to ensure the quality.
  • Ensure proper database of suppliers is maintained and updated regularly to procure items quickly in case of urgent needs.
  • Records all incoming and out-going correspondence
  • Responsible to prepare RFQ obtain approval and purchase office furniture, stationary and kitchen supplies.

EDUCATION AND EXPERIENCE REQUIRED:-

  • Bachelor in Business Administration or a related field
  • Minimum 4-5 years’ experience of managing duties at same position
  • Excellent management, communication and organization skills.
  • Excellent knowledge in MS Office skills including Word, Excel and basic computer operated software’s.
  • Fluent in both oral and written English
  • Strong interpersonal skills.
  • Ability and demonstrated experience in managing the support staff.
  • Should be able to work as a team player.
