Relevant Experience and Education:

 

  • Bachelor Degree
  • Three years’ experience in Administration setup.
  • Exceptional verbal, written and presentation skills.
  • Ability to work effectively both independently and as part of a team.
  • Experience using computers for a variety of tasks.
  • Competency in Microsoft applications including Word, Excel, and Outlook.
  • Knowledge files management, transcription, and other administrative procedures.

Job Description:

  • To ensure that log books are properly maintained and monthly records are available at Head Office level.
  • To keep proper record of Petrol Pumps (if any) guest houses (if any).
  • To keep proper record of travel authorization forms duly signed from all concerned.
  • To immediately inform all the concerned if any change occurs in Travel status.
  • To ensure that all security measures have been taken at ware house level and in vehicles.
  • To make sure that drivers are well trained and first aid box etc are up to date in all vehicles.
  • To coordinate with Admin team for proper tagging of all new supplies.
  • Before delivery of goods/equipment’s to different locations make sure that it has been booked in stock register.
  • Ensure proper handing taking before deliver the goods/equipments.
  • Responsible for the overall function of Admin at field level.
  • Records all incoming and out-going letters and documents.
  • Conveys all the required instructions and policies of the organization to the staff and the views of the regional staff to the leading body.
  • Monitors administrative aspects of the regional office/staff and evaluates discipline and punctuality of the staff to the assigned tasks.
  • Ensure attendance register maintain it on daily bases, keep the leave record of staff and share it with HR Manager on monthly bases.
  • Make sure the compilation of Personal file of field staff in all contexts.
  • Responsible to supervise the work, related to purchase of furniture, office equipment, computers, vehicles/motorbikes/bicycles, air conditioner and miscellaneous.
  • Responsible to negotiate service agreements with vendors.
  • Any other task assigned by the supervisor.
