We are looking for a proactive and dynamic person who can assist more than 100 users to draft official letters according to the ICRC protocol, troubleshoot issues related to tools like SharePoint, Lotus Notes Databases, organize meetings for management, can learn complex tools and databases and assist supervisor to accomplish day to day office work.                                                                                                                                                                                                                                                                                                                     


  • Minimum 3 years of professional experience. Preferably, min two years of secretarial experience.  
  • Bachelor’s Degree with majors in Information Management/ IT from a reputed university.
  • Excellent knowledge about Computer software’s, including; Microsoft Office Suite, Outlook, SharePoint, IBM Lotus Notes Database and Windows 10.
  • Excellent command of English (written and spoken).


  • Updates and retrieves data in/from specialized tools and databases.               
  • Creates and maintains paper or electronic files up-to-date and ensures that records are managed properly.                                                                                                                            
  • Follows-up on specific processes related to information management.                                             
  • Drafts and finalizes correspondence, bordereaux, internal presentations, meeting minutes and other documents according to Organizational Protocol.                                                         
  • Updates the timeline, tables and charts, schedule and other tools and ensures invoices are followed up on.                                                                                                                                                      
  • Applies information-management instructions and ensures compliance with procedures.  May be called upon to manage front desk on need basis.                                                
  • Able to assist supervisor in organizing sessions on different tools and assist colleagues to solve their issues related to Lotus Notes databases, SharePoint and other tools.                                          
  • Capacity to organize/ follow-up meetings for management by approaching Government/ Ministries, Embassies and other high-level authorities.                                                           
  • Capacity to learn new tools related to Information Management at fast pace and update him/ her self with latest technologies coming in organization
