Background: The position is for an international development project working to deliver social infrastructure across Pakistan.

Position Summary:

This position is responsible for working within and assisting the Transport/Security Team in managing the day-to-day administration, logistical arrangements of travel administration, hotel co-ordination and providing assistance in clerical duties to the Security Management Team. Co-ordination of travel plans with other departments.

Location: Islamabad

 

Reporting and Supervision: This position reports to Fleet Manager.

 

Specific duties and responsibilities include but are not limited to:

  • Establish good interpersonal relationships within the CPMU/ Provincial and District Teams.   
  • Build effective working relationships with relevant suppliers, service providers.
  • Meeting and greeting visitors at all levels of seniority.
  • Devise and maintain office systems, including data management and filing systems (hard copy and electronic);
  • Under direction assist in the maintenance and generation of transport and security documentation and training materiel.
  • Screen incoming email when necessary, faxes and post, at times corresponding on behalf of the managers;
  • Prepare correspondence, reports, and materials for presentations as required.
  • Perform general clerical duties to include but not limited to: photocopying, faxing, mail.
  • Maintain calendars, organise and maintain diaries and make reservations and enquiries to facilitate staff travel.
  • Liaise with Fleet Manager / Security Team to schedule travel arrangements and asset allocation and maintain regular contact with all receptionists.
  • Carry out background research and present findings
  • Produce documents, briefing papers, reports and presentations as required.
  • Provide accurate and timely activity based reporting as per SOPs: weekly, monthly, quarterly etc.
  • Provide informative, timely and effectively presented written reports/numerical data as required.

Minimum Qualification and Experience required:

  • Experience in Administration support roles;
  • A minimum of 1 years’ experience.
  • A relevant Bachelor’s Degree such as Business Administration with a Master’s Degree being desirable;
  • Written and spoken English (business conversation) and local language(s);
  • IT Literacy: able to use M’soft Word, Powerpoint and Excel at an intermediate / advanced level plus has knowledge of Smartphone applications;
  • Awareness of Transport and Security Operations beneficial.
