Summary:

The principal role of the Payroll Associate is to ensure the accurate and timely disbursement of payroll to employees, confirming that calculations related to time worked, salaries, provident fund, gratuity, income tax deductions, and exemptions are made correctly and to calculate gross and net pay.

Key Result Areas:

  • Lead and manage all aspects of the payroll process from preparation of the payroll to general ledger posting, in accordance with SSC’s policies and procedures. 
  • Processing of Employees Provident Fund, Gratuity Fund, Employees Expense claims and Medical claims, as well as payments and adjustment of salary advances.
  • Monthly payroll processing, posting of adjusting / financial entries, Tax adjustments / issues, coordination with various banks for transfer of funds and investments.
  • Final Settlement Processing: Verification of data including clearance, salary, deductions, provident fund, and gratuity fund etc.
  • Maintain effective internal controls for the payroll function and proactively work with management to identify efficiency improvements and gaps.
  • Maintain payroll information by directing the collection, calculation, and entering of data.
  • Maintain employee confidence and protect payroll operations by keeping information confidential.
  • Conduct periodic review with the Finance department to ensure proper tax withholdings and payments are processed.
  • Update payroll records by reviewing and approving changes in exemptions, insurance coverage, and job titles, department/ division transfers including reconciliation of the payroll accounts to general ledger and resolve all payroll discrepancies.
  • Verify and maintain all supporting documents for payroll and payroll-related transactions (i.e., time sheets, employee status change forms, etc.)
  • Support the HR team regarding new appointments, probation completions, terminations and other relevant matters.
  • Respond to queries from employees and resolve payroll-related discrepancies.

Key Skills, Knowledge and Experience:

  • At least 3-4 years of relevant experience of administering payroll. Knowledge of principles and practices of payroll processing, provident fund, gratuity, investments and income tax regulations; rule, laws and requirements in operating a payroll function is essential.
  • The jobholder needs to be experienced at using databases, spreadsheets and related computer programs designed for payroll; as well as automated payroll systems.
  • Attention to detail and business process improvement experience.
  • Numeracy skills - reconciliations and statistics and ability to manage large volumes of data are required.
  • Proficient written and verbal communication skills.
