SCOPE OF SERVICE/TERMS OF REFERENCE

Event Management Company for District Meetings of Religious Leaders

 

Reports to:         Senior Media Manager

Duration:           August 2015 to December 2016

Location:           Project Districts (Layyah, Muzaffargarh. Sahiwal, Lahore, Bakhar, and Rajanpurfrom Punjab province. Mardan, Peshawar, Swabi, Haripur and Manshera from Khyber Pakhtunkhawa)

Background:

Empowerment, Voice and Accountability for Better Health and Nutrition (EVA-BHN) is a four-year project funded by UK Department for International Development (DFID) as part of its assistance to Government of Pakistan. A Consortium of twoorganisations lead by GRM Futures Group is implementing the project. Centre for Communication Programs Pakistan (hereafter Center) is the other consortium member responsible for undertaking a set of communication and media focused interventions to help achieve project’s goals of increased empowerment, amplified voices and greater accountability for better health and nutrition. The project is implemented in two provinces of Pakistan, namely in Punjab and Khyber Pakhtunkhwa (KP).

 

One of the interventions of the Project entails engaging religious leaders seen as a potential source for bringing social change, especially among men. People generally look up to themfor guidance on a range of issues, including those that pertain to health and wellbeing. Given the influence of religion in Pakistani society, religious/prayers leadershave been successfully engaged in recent past as one of the communication channels for influencing social norms and changing individual behaviors. Engaging religious leaders is important for increasing male participation in women health issues and overall improvement in health seeking behaviors at the household level.

 

Scope of Work:

Center’s plans to hold meetings of religious leaders in the mentioned project districts. There will be maximum two meetings in each project districts scheduled almost every month till the completion of the activity. In each of meetingaround 30 local mapped religious leaders will be invited to attend a daylong meeting. They will be briefed on the project, engagement with religious leaders under the project and status of mother and child health in Pakistan. The agenda of the meetings, resource persons and sending invitations or follow-ups, travel of the participants will be the responsibility of Center. However, an event management company will manage venue and lunch or refreshment. 

 

Specific Functions:

Following are specific functions expected from event management company for this assignment:

  • Venue management that entails security, sound system, lighting, multimedia, proper seating arrangement, panel stage, backdrop/banner, standees. Sufficient parking space available at the event place.
  • Lunch and refreshments for the event as per requirement. Lunch and Refreshment includes two main dishes i.e chicken and rice, naan/roti salad, raita, sweet dish i.e kheer and one time tea. Sufficient arrangement for around 35 participants. Center will share expected number of participants prior to each meeting.
  • Proper arrangement for water and electricity and power back up supply in case of power failure.
  • Coordination with Center’s team members for venue selection and other arrangements and planning beforehand for next meetings

 

How to Apply:

Sealed financial bids are invited for providing abovementioned services inclusive of management fee and any taxation.Kindly give per event cost for each districtconsidering the event is to take place in a local establishment with decent facilities. Past experience of holding similar events in mentioned districts is desirable. Last date for submission is August 3, 2015.
