PURPOSE OF POSITION

To provide human resource administrative services in the field offices: compensation processing, employee services, employee relations, etc. And to support, coordinate and facilitate IT services, to develop variety of applications, install various hardware and software specifically reformat for NGO use in support ofCentral Asiaoffices.

Responsibilities as a Human Resources Assistant

Support and assist the Area Development Manager and HR Officer in the recruitment of Urban Programme staff following the recruitment standards detailed in HR Policy and Procedures Manual.

Help HR Officer to provide HR orientation to new staff members in order to pprovide interpretation of HR policies for compliance and also inform/translate policies and prepare orientation schedule for other departments.

Help HR Officer to prepare contracts/amendment letters/ personnel action forms and confirmation for Urban Programme staff and send them to NO on a Weekly basis

Assist HR Officer to keep update electronic filing record and hardcopy of personnel files in orderly manner and ensure all originals documents are sent to Islamabad office on a weekly basis

Assist HR Officer to keep Attendance record, leave records and overtime tracking updated on a monthly basis

Update field office Organogram and share it with HR Officer.

Process and review medical bills of staff, and maintain proper record.

Assist Area Development Manager to ffollow up with supervisors regarding performance agreements/ appraisals of staff  and communicating it to HR Officer at NO.

Conduct exit interviews for separating staff members and follow separation procedures as established by HR policy and Procedure Manual

Prepare final settlement sheet

Submit monthly activity report to HR Officer

Accomplish other tasks required by the supervisor, HR/Senior HR Officer.

Responsibilities as an Information Technology Assistant

Service Management

Incident management process are managed and implemented according to SLA

IT Operational process are adopted and followed

Record all troubleshooting requests recorded on a daily basis

Infrastructure Management

Strong ICT infrastructure at field level for enhanced security and providing efficient data services.

Efficient internet services in DIC 1 and DIC 2

Lotus Notes

Installation of Lotus Notes client for users in DIC 1 and DIC 2.

Orientation of Lotus Notes client to users in DIC 1 and DIC 2.

Software/Hardware

Following ICT processes for issuance of computers.

To ensure that all required software are installed on WV computers for ex. Microsoft Office, Lotus Notes, MacAfee, WinZip, EPO and if applicable: Microsoft project, Adobe, etc.

To ensure each computer has a virus checking and cleaning software installed, that is set up for automated updates every time the new version is released

Aging analysis of ICT equipment (Printers, Routers, Scanners etc) and advising of any necessary replacements.

Documentation of any assest movement and reporting to Inventory Officer.

GICT Project Support

Ensure the smooth implementation of the Big 4 (GICT initiatives, i.e SOC) and other IT initiatives according to AOP. Adhering to WVIT standard and policies.

Orientation

Identifying needs and validation of trainings from ADM to ensure they can do their daily work.

Reporting to IT/IS Coordinator

Participation in Monthly ICT meetings.

Skills, Knowledge and Experience 

Graduation, preferably BS(IT)/BIT/BCS/BBA-IT

Experience of 2-plus years with “hands-on” IT Support/administration and Human Resource Activities

Strong communication and negotiation skills (Oral and written)

Experience in HR administration and office management and IT Administration.

Knowledge of computer systems, E-mail and software, and thorough experience in Microsoft office suite and networks

Knowledge of Lotus Notes and / or Windows based software

Ability to work in and contribute to team building environment

Ability to handle sensitive and confidential information with absolute discretion is mandatory for this position, and not doing so will be cause for termination.
