Position Title: Procurement Assistant

Duty station: Peshawar

Position Overview: The Procurement Assistant will be responsible for assuring the procurement of all Requested specified items in PR duly verified by Finance reviewed by Procurement manager and approved by Chief of Party.. 

Essential Job Functions:

·         Responsible for organizing procurement and tracking the local procurements of goods and services..

·         Track and monitor local procurements of goods and services. made by selected contractors or Suppliers .

·         Ensure that the hand-over documents of items procured as well as  documented.

·         Ensure that the procured Items are as per specification mentioned in PO and  properly documented;

·         Vouchers for payments and other supportive documents should be filled and original copy is to be send to Finance.

·         Analyze the market survey and submission of survey report on monthly bases to Procurement manager and advise, for streamline local procurements.

·         Maintain and update a list with detail costs of most common items procured in the near past and to be need in near future

·         Keep and maintain a record and list of those vendors, who’s cleared under US screening Policy.

·         Assist the procurement officer for other Task  to be need.

·         Other activities to be specified by senior Supervisor staff.

·         Responsible to keep the update record of all documents and maintain a good filing system.

·         Maintain the stationary record and fulfilling the request of staff regarding stationary demand.

·         Keep and Maintain high standard of ethic value by not keeping any relation. Affiliation or accepting any gift, or giving any favor to any vendor/Firm or institute. On relationship, or friendship Bases.

·         Any other task or duty rather then mentioned in above  TOR assigned by supervisor.

Required Skills & Experience:

  • Bachelors in Business Administration or related degree;
  • 3-5 years’ progress experience managing procurement and logistics for an international organization;
  • High proficiency MS Office suite;
  • Outstanding communication skills, fluency in written and spoken English;

Preferred Skills & Experience:

  •  3-5 years of related work experiences with international NGOs
  • 2 or more years working with USAID rules and regulations (AIDAR/FAR)

Travel Requirements:

  • Travel to regional offices and worksites; up to 50%.

Physical Requirements:

  • Normal Office conditions.
