Job Title: Procurement & Inventory Officer
Position based: Islamabad
Department: Administration/Operations
Report To: Deputy Country Director
SUMMARY:
The Procurement & Inventory Officer will plan and manage procurement activities related to multiple projects and keep track of each item purchase using project funds. And maintain program inventory control starting from designing, developing, implementing and monitoring, distribution and disposition of assets. S/He will prepare different plans with the close coordination supervisor that effectively manage inventory control systems, effectively distribution of assets among partner organizations, Transfers, leases, insurances, losses report and disposition plans (program close out plans)
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Plans and manages all procurement activities related to the project(s) and seek input from the technical specialists as required as per the request on time and properly stored/maintained
- Ensure the integrity of the procurement processes of all goods and services required for project
- Keep accurate accounts of all procurement processes and ensure that all procurement is carried out following the organization procurement procedures and guidelines
- Prepare delivery plan for distribution of items to different projects and offices
- Prepare monthly Action Plan and Activity Report in consultation with program and operation staff
- Prepare and update vendor list and keep update, circulate black listed vendors and maintain and update filling system according to organization standards
- To develop, implement and monitors processes and plans that effectively manage program inventory systems
- Distribution of assets amongst partner organizations and Transfer, Losses and disposition plans
- To establish and maintain the all accepted storage condition for stock and arrangements of goods in shelves inside the stock; stationary, hygiene material and equipments
- To develop efficient and effective inventory control system to minimize risk of theft, losses and damages; if found ,report to immediate supervisor
- To take care of program related inventory insurances (field insurances, ware house/store insurances etc.)
- To take care of tagging, documentation and reports ; periodic inventory taking and compilation: cross matching assets with finance department for transparency
- Taking physical inventory of partner organization offices on need basis
- To help in establishing proper documentation according to donor regulations and organization’s property/assets procedures
- To develop and timely approval of close out plans of program/projects
QUALIFICATION:
- University Graduate
- Minimum 2 years of experience in related field
- Strong interpersonal skills
- Well verse with procurement procedures, filing systems
- Computer literate
- Excellent English communication skills (oral & written)
- Must be aware of local market
- Sharp contacts with Vendors/Suppliers, and ministry of interior.
