Purpose of Job

The main purpose of the role is to support and documentation for all type of Logistics and procurement related task at the country office in Islamabad and procurements related to field offices currently located in KP, Punjab, FATA and Sindh, by effectively co-ordinating and managing in accordance with the relevant policies and procedures and best practice in relation to logistics, procurement.

Key Responsibilities:

The key responsibilities of position holder are to provide timely support to program staff and activities. The position holder will be responsible for maintaining Inventory records, office assets, and conduct the procurements according the Organization’s Policies and Procedures. He/She will also be responsible for coordination and support from vendors, suppliers and service providers.

Specific duties and responsibilities

  • Coordinate for purchases all office equipment and supplies as approved in budgets and in accordance with established Organization’s procurement procedures and plans provided.
  • Negotiate and prepare the vendor contracts, agreements and tender packs according to the requirements of the requesting department.
  • Provide support for arrangement of national and international travel, training workshop etc.
  • Ensure the operation and maintenance of all office equipment liaising with contractors and service providers to ensure efficient and cost effective serving and repairs of all equipment in the office.
  • Properly maintain and update the Fixed Assets Register for all durable items.
  • Maintain proper record for fleet including activities covering but not limited to registrations, insurance, servicing etc.
  • Maintain proper logistic stock and maintenance of logistical equipment and materials.
  • Timely response to specific requests from the program departments for logistical support for trainings, workshops and other events.
  • Implement systems and procedures relating to office management, material, warehouse and services management in collaboration with Operation Coordinator and HoD.
  • Occasional visits in the field to ensure qualitative logistically support
  • Any other tasks assigned by the supervisor

Required qualifications and experience

  •  B.Com/BBA/ or any other relevant degree equalling to bachelors.
  • At least 2-4 years of working experience in any INGO preferably in Emergencies
  • Advanced computer skills in MS Office, particularly Excel
  • Prior management experience and strong organizational skills
