Advancing Girls Education & Skills (AGES) USAID-funded program will be operating in four provinces (Sindh, Balochistan, Punjab, and Khyber Pakhtunkhwa) of Pakistan.  The four-year program works to improve access to formal and informal education, engage communities to support expanded educational and employment opportunities, and collaborate with the Pakistani government to strengthen policies which support girls and young women.

Technically Reports to:  Senior Manager Finance & Grants and Procurement & Operations Manager and Provincial Team Lead

Position Summary:

The Finance/Admin Officer under the direct supervision of Provincial Team Lead and dotted line Supervision of Sr. Manager Finance & Grants and Procurement & Operations Manager will ensure that adequate and appropriate Financial and Operational Management Procedure of World Learning are in place. Finance/Admin Officer will ensure the Internal Control application to minimize the inherent risk and implementation of accounting/operational policies & procedures as per GAAP.

 Job Responsibilities:

Finance

  • Prepare all Bank Receipt and Payment vouchers and update Bank register on daily basis. Ensure the document scanning and filling in timely manner.
  • Expense verification and recording of Region and Districts based day-to-day transactions in the WL computer software Quick Book/Intact in general and vouching the allocation of appropriate account/class codes in particular.
  • Handle day to day Petty cash matters including preparation of cash count sheet on regular basis.
  • Generation/extraction of month-end reports from QB/Intact, including consolidation and analysis of the monthly budget vs actual reports to be reviewed by the senior Manager Finance & Grants.
  • As Regional Focal person, will ensure standard documentation and agreement compliance for field payment Invoices.
  • Responsible for all taxes deduction, reporting and deposit as per laws of the land.
  • Assist the Sr. Manager Finance & Grants in preparation of various reports required from time to time and Audit assignments.
  • Deal with project’s bank for correspondence in respect of funds transfer, bank statement, Pay Orders and cheque books issuance etc.

Administration

  • Assist supervisor in handling and overseeing all offices administration/operations, coordinating payment of all invoices, coordinating AGES technical logistics as required, and maintaining close coordination with all administrative and technical staff.
  • Assist supervisor in maintaining up-to-date record keeping and in conducting periodical filing audits.
  • Assist to seek bids which support office operations & procurements in the province.
  • Assist the supervisor in managing AGES office equipment, including routing services and maintenance, and acquisitions needed for AGES provincial office operations; 
  • Assist with the preparation of other project documentation as required including, but not limited to, meeting agendas, notes, presentations, etc. 
  • Assist supervisor in organizing events, conducting local procurements and communicating with local vendors;
  • Assist supervisor in managing the provincial office calendar, including finalizing meeting dates, appointments, locations, office cars and drivers, assisting with coordinating staff, and other logistical needs;
  • Maintain project inventory and departmental filing system per World Learning guidelines;
  • Assist supervisor to keep records up-to-date in hard and soft files;
  • Liaise with the technical team to gather detailed operations requirements to ensure prompt appropriate process.
  • All other administrative tasks as designated by the supervisor.

QUALIFICATIONS

Education:

  • Bachelor’s degree in Accounting, Finance or Business. Partially CA, ICMA, ACCA qualified. Advanced Diploma in Accounting from College/Institutions.

Work Experiences:

  • Minimum of three years of operations and accounting experience. 
  • Experience with an International NGO preferably with USAID.

Demonstrated Skills:

  • The candidate should be mature and comfortable in a multi-cultural work environment, promote teamwork and be able to handle pressure with professional grace.
  • Able to work independently, make decisions and exhibit flexibility.

Language and Computer Skills:

  • Proficient in MS suite applications; significant experience in MS Excel and Quick books will be an added advantage.
  • Proficiency in English is required
