Line Management:

The Office Manager reports to and works under the supervision of the Head of Operations and Security and Provincial Project Managers.

Key Responsibilities:

  • Act as administration lead to the Peshawar office.
  • Coordinate with consultants and prepare quarterly workshop forecasting and submit to the Project Managers
  • Prepare monthly workshop’s breakdown as per actual and submit to the Project Manager 
  • Work to ensure Peshawar office facilities are sufficiently scaled to meet the requirements of the technical team.
  • Collate, classify and consolidate information in Peshawar offices to enable referencing and sharing and ensure the whole team can access all relevant documents.
  • Supervise office staff include Assistant Office Manager, Admin log assistant and support staff.
  • Coordination of workshop venues at KP Government premises.
  • Supervise complete procurements of KESP and JSSP
  • Supervise the process of inventory and assets management which includes issuing equipment, updating inventory list, carrying out physical inventory checks and sharing quarterly inventory report with the Project manager in Islamabad
  • Address consultants complaints regarding their district workshops, projects vehicles and administrative staff
  • Other duties as specified by the Line Manager, Project Manager and Director.

Skills and Qualifications Required:

  • Qualification: Masters in Business Administration, Information Technology and any other related discipline.
  • Experience: 5 to 7 years working experience in office administration, procurement and logistical support, alongside demonstrated experience of financial management and Information Technology.
  • Required Skills:
    • Good written and verbal use of the English and Pashto language (this will be tested during the selection process).
    • Strong interpersonal skills and the ability to build a strong, trusting and productive working relationship with both clients and colleagues.
    • Proficient in Ms Office (Word, Excel, Powerpoint, Outlook) especially Excel.
