TITLE:  Senior Coordinator, Communications, Reporting and Proposal Development

CONTRACT LENGTH: December 2018 with the possibility of extension

CHILD SAFEGUARDING:

Level 3:  the post holder will have contact with children and/or young people either frequently (e.g. once a week or more) or intensively (e.g. four days in one month or more or overnight) because they work country programs; or are visiting country programs; or because they are responsible for implementing the police checking/vetting process staff.

ROLE PURPOSE:

Senior Communications and Reporting Coordinator, will conceptualize, plan and implement the organization’s internal and external communications. The position holder will provide support to program teams and ensure quality reporting to donors/stakeholders. The position holder will be responsible for the development of quality communications products, including video documentaries, case studies, photo stories, blogs, reports and proposals. S/he will ensure Save the Children’s visibility through print and publication material, capacity building of implementation teams and field staff and developing visibility materials. S/he will facilitate the process of designing and implementation of advocacy and campaign initiatives. The position holder will ensure quality reporting and proposal development.  S/he will ensure compliance to Save the Children communication policy.

In the event of a major humanitarian emergency, the role holder will be expected to work outside the normal role profile and be able to vary working hours accordingly.

Role Dimensions: Save the Children works in 2 provinces of Pakistan with a current staff complement of approximately 150 staff and current expenditure of over $4 million.

KEY AREAS OF ACCOUNTABILITY:

Strategic Planning of Communications

  • Development and rolling out of communications and media strategy for the organization
  • Development and monitoring of communications strategy and plans for projects and field offices
  • Manage the day-to-day internal and external communications and profiling initiatives of the organization.
  • Manage the publication and promotion of organizational materials, including the supervision of design and printing in line with SC guidelines.
  • Facilitate initiatives on advocacy and campaigning on child rights

Reporting & Documentation

  • Review and finalization of program and project proposals, in coordination with the Program Sector Specialist
  • Monitoring and ensuring the timely and accurate submission of high quality donor reports.
  • Produce other information materials, such as fact sheets and program briefs, where necessary
  • Compile and maintain a database of the status of proposals and grants - and tracking information related to proposal status, grant status, HO/donor reporting, and other data.
  • Assist in developing and writing up / reviewing concept notes, project ideas and donor proposals and ensure their quality and timely submission.
  • Review proposals in coordination with Thematic Directors/Specialists, and ensure that proposals are well written and include strong logical content.
  • Preparing and sharing information packs about program in Pakistan
  • Compile and finalize Country Annual Report/Country Annual Plan in accordance to the Country Strategic Plan
  • Development and dissemination of case studies, success stories, brochures, documentaries etc. about various programs and sharing it widely with beneficiaries, donors, global offices, media as per requirement

Technical Support to SC and Partner Organizations:

  • Provide technical support to field staff, program teams and implementing partners for ensuring the branding compliance as per organization/donor guidelines
  • Provide technical support to field staff, program teams and implementing partners in developing high quality IEC material, profiling of their programmatic achievements
  • Orientation sessions for new joiners, IPs, field offices etc. and dissemination of Communication SOPs
  • Facilitating the programs in designing and implementing media campaigns

Proposal Development:

  • Coordinate with all relevant technical and implementation colleagues and devise the timelines with clear responsibilities for the Concept Notes and proposal development and submission
  • Lead the proposal writing and coordinate with all relevant staff to gather their inputs in a timely fashion.
  • Acquire and disseminate updated information regarding donor formats (proposals and reports) and other donor related information.
  • Ensure new proposals are in-line with the respective funding agencies’ Theory of Change  and SC’s CSP

QUALIFICATIONS 

  • Master’s degree in Communications or Journalism, or a relevant area of study.

EXPERIENCE AND SKILLS

  • Minimum five years of work experience with three years’ experience of communications focused work.
  • Strong analytical, communication, presentation and writing skills.
  • Good understanding of Child Rights and related development  issues.
  • Capable of taking initiative and ability to work with minimal supervision and according to demanding timeframes.
  • Proficient in Ms Word, Excel and Outlook.
  • Working knowledge of photo retouching and cataloguing software like Adobe Lightroom, Capture NX, etc.
  • Rudimentary knowledge of graphics designing software, including Adobe Photoshop, CorelDraw, etc.
  • Experience in dealing with external organisations.
  • Commitment to work with and for children; ability to work effectively with young children and proactively involve children in media and communications initiatives i.e. children’s press conferences.
  • Proactive, persuasive, and ability to work under stress. 
  • Sensitive to the cultural & political environment
